How to Record Share a patient
What is Record Sharing?
This is an optional function in EpiSoft that allows one organisation to share patient records to another organisation using EpiSoft.
Common use-cases include:
a) A practice using EpiSoft wants to refer / prescribe patients for treatment delivery in a hospital which also uses EpiSoft
b) A hospital using EpiSoft wants to share the treatment outcomes of their patients with their referrer/s who are using EpiSoft
Patient consent is required to share records between organisations.
What can I do if I have been Record Shared a Patient?
I can create new Visits and add data to the Patient Record, but I can't modify or delete old Visits (in other words, Visits created by other organisation's are Read-only)
Only cloud-hosted users of EpiSoft can use record sharing
Currently, only organisations using EpiSoft hosted in the cloud can record share (or receive record shares) with another organisations.
How do get setup for Record Sharing?
FOR ORGANISATIONS WANTING TO RECORD SHARE THEIR PATIENTS WITH ANOTHER EPISOFT ORGANISATION
A. Firstly, you need to setup the organisation that is receiving the record share (henceforth called the 'Target Organisation') as a Referrer in your database.
B. The EpiSoft support team then needs to 'map' this Target Organisation as a referrer that you are Record Sharing with. Lodge a request with EpiSoft to do so by clicking "New ticket" in the top-right-hand-corner of the EpiSoft Helpdesk, or equivalently email help@episoft.com.au.
No further setup is required by you.
FOR ORGANISATIONS WANTING TO RECEIVE RECORD SHARED PATIENTS FROM ANOTHER EPISOFT ORGANISATION
Lodge a request with EpiSoft to enquire about this capability by clicking "New ticket" in the top-right-hand-corner of the EpiSoft Helpdesk, or equivalently email help@episoft.com.au.
Include details about the organisation that you are wanting to receive Record Shared patients from. EpiSoft will then facilitate a discussion with this other organisation to ensure both parties consent to the process.
How do I Record Share a patient?
A. You first need to associate the Target Organisation as a Referrer with the patient that you want to Record Share (if not already done so).
B. After selecting the Referrer and if that Referrer has been mapped by EpiSoft (see How do get setup for Record Sharing? above if not already done so), then you will be asked if you want to Record Share. Follow the prompts to Record Share.
Don't forget to hit Save.
You've just Record Shared your first patient!
How do I know if a patient has been Record Shared?
If you are a Target Organisation receiving a Record Shared patient, you will see a Record Share symbol on the Patient List.

Can I Record Share with multiple organisations using EpiSoft?
Yes. Nothing will change with regards to the Record Sharing process.
Will the organisation I Record Share to have full visibility of all notes, treatment information and other data relating to this patient?
Yes. they will. Record Share is designed to encourage collaboration and data sharing within a patient's care team.
Why can't I see a protocol that has been prescribed to that patient in another organisation?
It is likely that protocol is not published in your organisation. Contact EpiSoft by clicking "New ticket" in the top-right-hand-corner of the EpiSoft Helpdesk, or equivalently email help@episoft.com.au to find out more.
Can I withdraw Record Share?
Yes, Record Share can be removed at any time by navigating to the Referrers tab, and setting Record Share to Organisation to 'No'.
It is courteous to notify the other organisation that you are removing their access to your patient.
