NEW FEATURES

eReferrals:

MENTAL HEALTH PREADMISSION WORKFLOW

An end-to-end preadmission workflow tailored to Mental Health patients has been migrated to the epi-me platform.

The workflow begins with an External or Internal Mental Health Referral lodged via the Referrer or Admin Portal, respectively: Referrers can refer mental health patients for day, overnight or ECT admissions.

Patient Services staff can then review the referral on the Referral Worklist, and can record the results of the patient's online eligibility check via an added Financial Status function.

The referred patient can then be optionally invited by SMS or Email to complete a Mental Health eAdmission on the patient portal, including a standard patient registration followed by a tailored mental health 'triage' history which includes questions about the patient's past medical history, current conditions, allergies & medications, general lifestyle as well as specific psychiatric screenings.

Depending on the referral priority, the patient's capability and other factors, this eAdmission step can be skipped as the same questionnaire is available to service intake staff to complete on the patient's behalf.

When the service intake team is ready to complete a risk assessment prior to admission, they can choose whether they would like to copy in data from the patient's eAdmission, or from a historical admission for the patient.

The selected data then pre-populates a Mental Health Assessment which is used as a risk-screening tool to determine the patient's suitability for admission.

Once all mandatory data has been completed and the patient has been accepted for admission, all of the data and documents can be processed into the PAS.


REHAB PREADMISSION WORKFLOW

An end-to-end preadmission workflow tailored to Rehab patients has also been migrated to the epi-me platform.

The workflow begins with an External or Internal Mental Health Referral lodged via the Referrer or Admin Portal, respectively, and follows the same process as described above for Mental Health, except:

a) there is no option for the patient to complete their registration

b) the clinical data capture is tailored to a rehab patient

c) there are two assessment options - a 'Rehab Assessment' which includes the patient registration half, or a 'Rehab Transfer' which does not require a patient registration and is used for patients who already have a record in the health service PAS.

ACUTE REFERRALS

Optional Admission Type of 'Outpatient' added

For health services (particularly public hospitals) who provide onsite outpatient clinics which are typically referred from GPs and allied health, an Acute Referral Form for 'Outpatient' referrals has been added.

This is the same as a Medical referral bar the addition of a field called 'Outpatient clinic specialty' which tracks what services is being requested.


Public Maternity Patients - Preferred Model of Care

If the patient is a Public Maternity patient, a mandatory question is now shown labelled 'Preferred model of care', which is a single-select dropdown list with the following options: 'GP Shared care', 'Midwife Group Practitioner' 'General Midwives' 'Midwife/Medical/Obstetric' and 'Obstetrician'

Unless the User selects 'Obstetrician', the Admitting Dr question is hidden.


Maternity Patients - Prefill of Presenting Problem and Procedure/Treatment

For Maternity eReferrals, the Presenting Problem and Procedure/Treatment fields now prefill by-default as 'Pregnancy' and 'Confinement', respectively.

Relabelling Patient Gender as Patient Sex

Patient Gender has been relabelled as Patient Sex in the following locations:

1. On the Acute Referral form itself (Internal and External)

2. On the Edit patient details screen (accessed when using an existing patient in a new referral)

3. On Patient Search (Internal Referral)

This has been changed to support the addition of a separate field called Patient Gender (if different to sex) in some referral forms, and to improve clarity that the data required is biological sex which is part of health service reporting requirements.


Standardisation of Referring Facility/Practice and Requested By fields between Internal and External Referrals

Referring Facility/Practice and Requested By record which facility/practice and staff member made the referral, respectively. When an External Referral is submitted, these fields are automatically pre-filled as the logged-in user / practice, but are free-text for Internal Referrals.

Preadmission Clinic Yes / No made mandatory

This question has been made mandatory, as previously referrers were failing to answer the question but their patients did require a PAC appointment.


Date of Birth hint-text added

A note has been added below the DOB entry to assist usability - "We suggest you type in the date of birth."


Public Surgical Patients - Admission Date & Procedure Date fields made optional

For public surgical patients who are waitlisted prior to being allocated an admission (and procedure) date, these fields are now optional which allows the surgeon to leave them blank. Instructional text 'if known' has been added to the date fields to suggest they are not mandatory.


Bed Nights now available as a Configuration (ACUTE_REFERRAL_INCLUDE_BED_NIGHTS)

This question capturing the number of nights per bed resource (eg. Ward, ICU, CCU beds) has now been made available as a Form Configuration - so can be shown and hidden per customer.


Theatre Required now available as a Configuration (ACUTE_REFERRAL_INCLUDE_THEATRE_REQUIRED)

This question capturing whether Theatre Required (and whether it is an Endoscopy, Angiography or Operating Theatre that is required) has now been made available as a Form Configuration - so can be shown and hidden per customer.


Operating Surgeon now available as a Configuration (ACUTE_REFERRAL_INCLUDE_OPEARATING_SURGEON)

This question capturing an additional operating surgeon (if not the Admitting Dr) has now been made available as a Form Configuration - so can be shown and hidden per customer.


ADMIN PORTAL GENERAL ENHANCEMENTS:

Dropdown List Maintenance - clinical

This is a new System Administration function for front-end management of certain drop-down list codes / values which do not have a Facility Code. The page allows the User to activate, modify, deactivate or change the display order drop-down list values. Currently, this is only applicable to one customer who uses the Rehab Assessment.

Frontend 'Form Audit' of Admin User Views / Edit Metadata

A 'Form Audit' function has been added to the last page of each Form when viewed on the Admin Portal - this includes both eAdmission and eReferral Forms.

To assist health services with Privacy obligations, this Form Audit function tracks which Admin Users viewed and edited a page in that Form.

The User can can select a date-range of actions to Audit (default last 7 days), select whether they are investigating View or Edit actions, and also look for specific User actions. The Audit results can also be downloaded to .CSV for further analysis.

Comment-Logging Feature for selected Free-Text Fields

To assist health service staff to collaborate and communicate on patient assessments, a feature has been added to certain free-text fields to log who and when an Admin User entered a comment into that field. The person who logged that comment can Edit or Delete their comment, and there is also a Role Access permission to allow System Administrators to Edit or Delete User's comments.

At the moment, this feature has only been implemented for a small number of free-text fields in the Mental Health Assessment.

Enhanced the Referrer Search Page (Admin Portal)

To assist bookings staff to provide support for external referrers / rooms, a number of new functions have been added to the Referrer Search page:

1. The Default Admitting Dr, Default State and Default (Admitting) Facility can now been set for a Referrer by Admin Staff

2. The Referrer Type and Referring Organisation Name and Provider Number (unless hidden as a portal configuration) can now be viewed by Admin Staff

NEW REPORTS

Added Reports from eAdmissions V2 to query Mental Health and Rehab Referral Activity

REFERRAL WORKLIST (ADMIN PORTAL)

Ascending / Descending Sort Function on the Referral Worklist

To assist health service staff to prioritise their workload, Admin Users can now sort most columns on the Referral Worklist by ascending or descending value which overrides the default chronological ordering by Admission Date.

Some use-cases of this function may include sorting the Referral Worklist:

a) by Referral Created Date ("First-in, first-out")

b) to group referrals with the same Admitting Dr

c) to group referrals of a particular claim type

d) to group referrals alphabetically by Procedure / Treatment

Added Search Filters on the Referral Worklist (Admin)

'Assessor' and 'Program Type' filters have been added to the Referral Worklist, which only show when the selected Referral Type is Mental Health or Rehab (i.e does not show for Acute).

Admission ID has also been added as a search filter on the Referral Worklist, which is Referral Type-agnostic and can be used to search for specific referral records. The Admission ID matches the ID shown to External Referrers, so is useful when trying to collaborate / discuss on a particular record with a Referrer User.

The Assessor filter requires the facility to be selected first, and shows all Users which a role of Assessor assigned to that facility. This allows the User to view a particular Assessors workload (i.e which Referrals they are assigned to).

The Program Type filter is facility-agnostic and filters the list of Referrals by the Program is allocated to or has been referred for.

Added Referral Worklist Filters at the request of migrating customer, to track Rehab & Mental Health Referrals

A number of filters have been migrated from an older version of the portal. Their functions are described below:

1. Active Only includes all Rehab & Mental Health Referrals that haven't been processed into PAS yet, and are not Declined/Cancelled.

2. Accepted includes all Rehab & Mental Health Referrals that have been Accepted via their Assessment Outcome page

3. In Progress (existing filter that has been updated) includes all Rehab & Mental Health Referrals that have been set to In-Progress via their Assessment Outcome page OR Internal Acute Referrals which have been submitted In-Progress.

4. Review includes all Rehab & Mental Health Referrals that have been set to Review via their Assessment Outcome page


5. New includes all Rehab & Mental Health Referrals that have not yet been Assigned to an Assessor, aren't Declined/Cancelled and don't have an Assessment Outcome

6. Assigned returns all Rehab & Mental Health Referrals that have been Assigned to an Assessor, aren't Declined/Cancelled and are not processed to PAS.




REFERRER PORTAL (EXTERNAL)



Referrals Worklist (Referrer Portal) – Revised Columns for Referral Records


We have made significant changes to the Referral Worklist (Referral Portal) at the request of one of our early-adopter eReferrals customers, with the aim of improving usability and efficiency for practices managing their eReferrals by expanding the information available 'at-a-glance'.

eReferral Portal Instructions for Referrers now able to be configured in Legal Text

The External Referrer Portal includes instructions for Referrer Users on how they are to use the portal. These are now configurable by the customer in the Legal Text page - the Legal Text item is called "External Referral Worklist Notice"

Additionally, on the My Account Details and Registration Page for Referrer Users, the customer can now configure additional specific instructions for each Referral Type (Acute, Rehab, Mental Health as applicable)

The configuration of these is performed on the Legal Text page using Items "Referrer registration (acute / rehab / mental health) warning text showing under the default referral option".

NEW NOTIFICATION EVENTS AVAILABLE

Added Optional Staff Email Alerts for New Referral

Three Event Types have been added to the Communication Centre - On Rehab Referral received, On Mental Health Referral received, and On Acute Referral received.

These Events can only currently be configured for an Email Message Template, and if active, send an email to the entered email address when an Internal or External Referral is submitted to the Worklist.

Room Type Acknowledgement Checkbox can now be hidden as a configuration (ADMISSION_DETAILS_INCLUDE_ROOM_TYPE_ACKNOWLEDGEMENT)

A configuration has been added for health services which do not require their overnight patients to acknowledge that their Room Type preference is not guaranteed.

Insurance Details Page


Person Responsible for Account ("PRFA") now shows for Worker's Comp and Third-Party insured Patients


Based on customer feedback, this section now shows for Worker's Comp and Third-Party patients to handle exceptional cases where the insurance does not fully cover the cost of their treatment.

To mitigate potential patient confusion as to why they are being asked for PRFA for these insurance types, instructions have been provided (see below).


Person Responsible for Account ("PRFA") section header update

The header of the PRFA section has been updated to specify "Person responsible for payment (for any out of pocket expenses not covered by your insurer / health fund)"


HEALTH HISTORY

Allergies & Medications - Alternate Text for Blood-Thinning Medications Available (HISTORY_MEDS_RELABEL_BLOOD_THINNING_MAIN_QUESTION)

The question "Do you take or have you recently taken blood thinning medications (eg. aspirin / warfarin / clopidogrel)?" now has an alternate label available which is "Are you on any medications to thin your blood e.g. warfarin, aspirin based medications?"


HC21 PRINTOUT

Level of Cover for Private Health Fund Patients now prints out on the HC21

The question for (private health fund) Level of Cover (only for portals which use INSURANCE_INCLUDE_LEVEL_OF_COVER) now prints out to the respective field on the HC21 document.


BUG FIXES

Addressify Lookup optimisation

The Addressify lookup (used widely in epi-me for address auto-complete) has been optimised to reduce the number of API auto-complete calls made during usage. Prior to an auto-complete result/s being returned, the User now needs to enter in at least 5 characters, and the list of results will refresh on every 3rd keystroke.

This change was implemented in response to feedback from customers who manage their own Addressify licences which were being quickly consumed by epi-me users.


eReferrals:

REFERRAL FORM

Can't find (patient) address tick-box now copies forward for subsequent eReferrals for a patient

Previously, this tick-box which shows / hide free-text patient address did not copy-forward for subsequent eReferrals for a patient, which meant that the Referrer User had to fill in the address again to save the eReferral.

This has been resolved.

Subsequent eReferrals can now be submitted by a Referrer User who didn't submit the original eReferral for that patient


Previously, Referrer Users in an organisation who tried to re-use a previously eReferred patient created by another User experienced an error when they tried to eRefer that patient again..

This has been resolved.


REFERRER PORTAL (EXTERNAL)

Organisational User Management on the User Search Page

A number of fixes have been applied to the User Search page to assist eReferral Organisation Administrators with User Management.

1. The Administrator can now update any details of one of their Organisation's Users, or deactivate them.

2. The User Role now displays

3. The Active (or inactive status) of a User now displays

4. The buttons have now been re-sized consistently

5. Last Login time has been removed, as it is in server time (Sydney) so it isn't useful for any referrers in a different timezone

Registration and My Account Details Page

To improve the user-experience for Referral Organisation Administrators, a number of fixes have been applied to the My Account Details and Registration page:

1. The organisation name can now been changed after registration.

2. The label for this field now dynamically-changes depending on the type of organisation eg. Name of practice for Specialist / GP practices.

GP Lookup performance improvement


In response to customer feedback that the GP Search (used in both the Family GP and Referring GP questions) is too slow for large numbers of GPs.

We have re-architected the search logic which should result in sub-second results for most patient users.


ADMISSION WORKLIST

Bug-fixes to the Admission Worklist for the Cutdown Oncology Form

1. The '$' financial estimate icon now has the correct colour based on the admission-priority, instead of defaulting to a single colour always.

2. The Traffic Light / Status icons for the Admission Form status have been consolidated to 1 Traffic Light, as there is only one part to the Cutdown Oncology Form.
