UPDATES / NEW FEATURES:

New fields added to the Visit Record Form - Treatment Plan Variation:
Two new fields have been added to the Visit Record form that allows staff to record any changes and variations to a patient's treatment plan. As per COSA guidelines, any deviations from standard treatment need to be documentation on the treatment plan with the reason for deviation.









New fields to capture Usual GP
When adding a referring doctor to a patient's record, admin staff can now indicate if this doctor is the patient's Usual GP by selecting the new tick-box shown below.


When the referrer record has been saved and is visible on the Referrers page, the status of 'Usual GP' is also displayed next to the referrer's name (in brackets).


The patient's Usual GP is also visible on the Edit Patient page.





Changes to Letters to Sign / Send
Once a letter has been 'sign & saved' in Letters to Sign Send, the letter will appear in the 'To Send' folder. Letters in the 'To Send' folder will now be displayed an a read-only (un-editable), allowing letters to render on the page much faster, reducing the time taken to send each letter. Previously, if users clicked the 'To Send' button too many times too quickly, they were presented with the error message "Your session has expired". This change will greatly reduce the chance of users experiencing this error message as the 'To Send' button will not be displayed until the read-only pdf version of the letters has finished rendering on the page.




New Data Parameter: Condition (date of diagnosis)
It was brought to our attention that we had an existing data parameter to populates a patients 'allergies' into a letter, but no data parameter for 'Conditions'. We have created the new data parameter of Conditions*, which will populate each condition recorded for a patient, each on a separate line in the letter.





New Field added to Edit Patient page: Pt Appt note

We have added a new field to the Edit Patient, as well as New Patient page, to assist admin staff in scheduling patient appointments. Admin staff can record free-text notes relating to the patients general availability or preferred appointment details. These notes are visible to the entire care team. Once an Appt Note has been saved for a patient, this note will be displayed in the following pages in EpiSoft:
  • On the main menu calendar view as part of the tooltip hover text when you hover over an appointment.
  • On the Edit appointment page above the appointment comments field in read only mode for this release with label of Pt Appt Note
  • On the patient level menu calendar both in the hover tooltip and at the top of the page
  • On Booking Requests for this patient at the top of the page
  • On booking requests individual in the patient record for this patient
  • On The appointment Management page, the speech bubble should prepend the text of the patient appointment note at the front of the appointment level text that can already be there e.g. Pt Appt Note: xxxxx ; This appt: xxxx.
  • If there is no global appointment note, do not change the appointment note text at all.



  • New Data Element available in the Letter Writing module
    A new data element of 'Summary' is now available which will populate a letter with the details saved in the new popup field 'Summary' on the Visit Record form.






    Bug Fixes:


    Issue Resolved: Visit Time of Inpatient Appointments
    The 'visit time' of Inpatient appointments will now be set as the time the appointment was attended (admin staff ticked attended), instead of the time of 12:00am.


    Issue Resolved: Broken Data Parameter - 'Referrer CC*'
    There was an issued identified in the letter written module with the data parameter 'Referrer CC* not displaying the correct data on the letter prior to saving. This issue has now been resolved and the data parameter is now correctly displaying all of the CC'd referring doctors as expected.


    Special Character '~' breaking Case notes

    The special character of '~' has caused issues when trying to edit existing Case notes on the Visit Record form. When a user enters and saves a case note, any text that followed the '~' symbol would no longer be visible to the user when trying to edit the case note. This issue has now been resolved.


    Results / Letters Pending: Doctor's unable to view their letters if they were included as a CC recipient

    It was brought to our attention that when a clinician opens the 'Results / Letters Pending' module, any letter sent to the clinician as a 'CC recipient' is not visible in their list of letters to acknowledge. This issue has been resolved and all letters sent to an intended clinician recipient will appear in their own list when viewing the 'Results / Letters Pending module.





    Issue Resolved: Lodgment Advice pdf printout populating Incorrect Service Date
    An issue was identified with the Lodgement Advice billing documentation populating the incorrect service date. The date the invoice was last edited was incorrect displayed in place the service took place. The issue has now been resolved.





    Reports:

    New Billing Report: Clinicians Per Visit
    The new Clinicians Per Visit report allows admin staff to generate a list of all of the different clinicians linked to any visits. This includes the clinician linked to the visit, the patient's Primary Clinician, as well as Billing Clinician if a service item is being charged for the visit. Users will be able to filter each column of the report by clicking the column header. Users will also be able to export the report to either CSV or Excel files.


    New Billing Report: All Billed Items by Service Date (UN-GROUPED)

    These new billing reports have been built from the existing 'All Billed Items by Activity' report, with the main difference being that the new reports will not be grouped by 'patient'. Instead, these new reports will display the 'Clinician' and 'Service item' data as individual columns in the report. All of the search filters and download functions have remained the same.


    New columns added to the 'Protocol Appointment by Service Setting (Additional Detail) report'
    We have added the following columns to the 'Protocol Appointment By Service Setting (Additional Detail) report:
    1. Study Name
    2. Patient Study ID
    This report will now include details regarding any study that has been assigned to the patient. This can be done within the 'Programs / Studies' tab
