How to automatically create or complete Tasks using Event Automation

Purpose

This article is intended for system administrators of your organisation's EpiSoft system where you have a use-case for automating the creation and completion of Tasks. The only current known use-case is to notify View Health - chemo@home admissions staff of their referrers activities in their Referral Wizard. Read more.

After reading this article, you should know how to configure Event Automation.


Notes on Terminology

An Event defines what triggers for the action on the linked Task Type. Actions include autocreating or autoclosing a Task which, depending on the Event, may or may not be linked to the Task Type configured in Event Automation.

Prerequisites

You have the 'Sys Admin - Organisation Preferences' Role Permission in EpiSoft.

Configuring Event Automation

This has a dedicated section in the Organisation Preferences page.




Although not all Events necessarily need to be used, each can be configured only once per EpiSoft organisation.


You can update the details or swap the linked Task Type of each Event and the automatic actions will update instantaneously and apply to all future triggers of the Event.


Important! Tasks previously autogenerated or autocompleted will not reflect the change to the Event configuration.

The currently available Events are as follows:

Upload new treatment chart (for primary clinician action)	Custom eReferrals Wizard	A patient is created using the Referral Wizard	Autogenerates linked Task of linked Type assigned to the Primary Clinician of the new patient. Autogenerated Task is autocompleted when a treatment chart (New or Follow Up) has been uploaded for that patient using the Referral Wizard.
Follow up treatment chart uploaded (for booking staff action)	Custom eReferrals Wizard	Follow Up treatment chart uploaded via Referral Wizard	Autogenerates a linked Task of linked Type for the patient. The Task is never autocompleted.
New treatment chart uploaded (for booking staff action)	Custom eReferrals Wizard	New treatment chart uploaded via Referral Wizard	Autogenerates a linked Task of linked Type for the patient. The Task is never autocompleted.
