Billing Changes
New validators
New billing validators have been added to prevent submission of accounts that are missing important data
- Prevention of submission of accounts where the clinician provider number is missing or invalid
- Prevention of submission of inpatient accounts with claim type ‘accommodation & medical’ where there is no accommodation service on the account
- Prevention of submission of accounts where the clinician is no longer valid at the visits site
Changes to 'Debtors Management'
Previously the 'Debtors Management' account status filter of 'Ready to Submit' was not finding medical only inpatient claims, this issue has been resolved
Also in debtors management if you have an ad hoc payor (see below) the abbreviated name of the sub-payor will appear in brackets after the ad hoc payor similar to individual health funds after main contracting fund.
Self pay accounts will no longer be shown when the accounts are filtered to status 'Ready to Submit'.
Provider charge edit after Invoice generation
The provider charge was previously able to be edited after invoice generation. If provider charge was corrected in the month after closing off, this would impact historical accounts. This has been changed so that if you have to edit the provider charge, you have to reverse the invoice first. The edit pencil icon next to provider charge will not show unless the invoice is incomplete / reversed.

New Payor Type
A new 'Ad Hoc' payor type has been added for medical report and clinical trial sponsor billing to enable you to track payments
1. To add a new ad hoc payor category go to the 'Maintain Payors' tab. Click to add a new payor.
2. Select the payor type of 'Ad Hoc'
3. Enter a payor category name (this could be 'clinical trial sponsors' or 'Medical Report Billing')
4. Click to 'Add Ad Hoc Payor' details. This will open a dialogue box.
5 Enter a payor code
Enter your first payor in this categories details and then click save.
Click to add further ad hoc payors into this payor category.
You will then need to create a contract for this payor type.
To do that, go to the contracts page and create a new contract and select the payor from the drop down list
Please note for medical report billing if you wish the medical report to appear as a medical service under the doctor in the billing reports you need to create the medical report item as services type 'Medical', service type detail 'Private outpatient' or 'Private inpatient' then add it to the relevant contract.
Ad hoc payor changes on the billing tab
When you get to the billing tab, you can select ad hoc payor in the first dropdown and then the active contract(s) will appear as usual. Then there will be a third menu option where you can select from existing sub-payors in the third dropdown list... or add new ones from this page also.
When you generate the invoice, it will default to presentation of the PAYOR invoice (as opposed to the patient invoice) and will render the address details of the sub-payor (e.g. Gilbert & Tobin Solicitors - that is the party in the third dropdown list ).
To pay off an ad hoc payor, you can use the "Actual Benefit Paid" function. We have enabled some further Payment Sources under this dropdown to accommodate ad hoc payor payments. Let us know if you cannot see these options.
Scheduling Changes
Previously when a patient had more than one protocol type in booking requests it would group the cycles by protocol type first and then by date, this has been changed so that the cycles will be displayed by date.
Letter Templates
The 3rd party provider of the letter template module has provided us with a new version of the letter module which we are deploying in this release. For the sites that have custom patient label templates we will be updating these.
This has addressed a longstanding bug in the latest version of the letter writer where the patient labels template did not render and we could not move to the upgraded version of the letter writer to start addressing the more significant issue of scalability of the letter writer to a web multi-user system.
We will now be liaising with the 3rd party vendor on a timeline for them to resolve the scalability issue and will be letting you know progress on this.
Please let us know if there are any issues with your custom patient label templates that have to recreate with your custom preferences in this latest version.
