2023/05/16 - Release Notes epi-me (eAdmissions and eReferrals release)

NEW FEATURES

PATIENT PORTAL

Removed the separate Wheelchair radio button from the Home Environment section on the Adult Discharge Planning Page (EM-5616, Helpdesk #23241)

Patients are asked about their use of wheelchairs twice:

1. On the Lifestyle & Diet page - under Do you have impairment of mobility? *’

2. On the Discharge Planning page - under Home Environment - either as a checkbox in the 'What sort of access do you have to your home? *’ (HISTORY_DISCHARGE_PLANNING_INCLUDE_HOME_ACCESS_QUESTIONS is FALSE) or as a separate, independent question called 'Wheelchair' (HISTORY_DISCHARGE_PLANNING_INCLUDE_HOME_ACCESS_QUESTIONS is TRUE)

The occurrence of the Wheelchair question in red has been deleted.

Updated wording and visibility rules on the Diabetes Medication question on the Allergies and Medications page (EM-4819 and EM-1673 and EM-5684, Helpdesk #13743)

The scope of the screening for diabetes medications on the Allergies and Medications page has been widened all patients (regardless of a diabetes diagnosis). The reason for the increased scope is to identify the use of these medications which, if not ceased 3 days from admission, could potentially cause diabetic ketoacidosis following the procedure.

The wording has also been amended to: ‘Are you taking ANY of these medications: Forxiga, Qtern, Jardiance, Glyxambi, Jardiamet, Xigduo XR, Steglatro, Segluromet, Steglujan and Invokana? *

The patient's description of their diabetes medications has also been added to the existing Clinical Alert for Diabetes.

New subquestions on the Diabetes Medication Question (EM-5683 and EM-1723)

Further to the above change to the diabetes medication question, a number of subquestions have been added to track if the patient has been instructed to cease the medications by their Admitting Dr, and when.

The visibility of the subquestions are controlled by existing Form Configurations as follows:

1. ALLERGIES_MEDS_INSTRUCT_CEASE_AND_DR_INFORMED being TRUE shows the cessation and date last taken question.

2. HISTORY_MEDS_INCLUDE_ADMITTING_DR_AWARE must also be TRUE to show the Admitting Dr aware question.

These additional question responses will also appear on the Diabetes Clinical Alert Type.

HC21/NCF to display on IFC for all insurance types except for Public Patient (EM-5432)

At the request of one of our pilot customer for PAS-integrated informed financial consent functionality, the National Claim Form (NCF) / HC21 is now being shown for ALL insurance types except for public patients.

Previously this section only showed for patients who selected ‘Private health fund’ as their insurance type but given that patients’ insurance status can change after performing an eligibility check, it is more convenient for staff to collect a signed NCF/HC21 to assist compliance with health fund requirements.

Increase upper patient weight limit on all Lifestyle & Diet Pages to 250kg (EM-5560, Helpdesk #23787)

At the request of one of our customers the upper patient weight limit on both Adult and Paediatric forms has been increased to 250kgs so that patients of this weight are flagged to the healthcare provider so they can provision for special operating equipment.

Previously, the field was limited at 200kg which meant that patients were fudging their weight to bypass the validation and the healthcare provider did not have the special equipment prepared.

No changes were made to the relevant Clinical Alerts as the existing Alerts for high-range weight and BMI will still trigger for this new weight range.

‘How are you planning to Pay for this Admission?’ question moved to the top of the Insurance page (EM-5561, Helpdesk #23241)

The 'How are you planning to pay for this admission?' question, which allows the patient to select their insurance status, has been moved out of the 'Medicare Details section, to the top of the form just above.

This aesthetic change was performed to address a small number of patient complaints that the location of the question in the Medicare Details was being interpreted that Medicare will pay for their admission.

New Form Configuration allows for the Inclusion or Removal of Spinal Injury Question in the Neurological section for General Admissions (EM-5567, Helpdesk #23141)

Form Configuration HISTORY_NEURO_INCLUDE_SPINAL_INJURY_QUESTION now allows for the show or hide of the ‘Spinal injury’ question in the Neurological and Mental Health section of the Past Medical History page.
Note: HISTORY_NEURO_ADDITIONAL_INJURY is also required to be TRUE for the Spinal injury question to show.

Removal of wording regarding ‘Living Will’ for customers using alternate wording on the Advanced Care Plan/Directive section of the legal page (EM-5574)

The wording on the label for Advanced Care Plan/Directive has been amended for customers using the alternate wording for the Advanced Care Directive which is controlled by Form Configuration LEGAL_ALTERNATE_WORDING_FOR_ACD_ADVANCE_CARE_PLAN.

The new wording is “An Advance Care Plan / Directive refers to written instructions that relate to the provision of health care when a person is unable to make their wishes known.

The reference to ‘living will’ was removed to address patient complaints of confusion.

Updated wording of the diabetes monitoring subquestion in both the Adult and Paediatric Health History Page 1, and inclusion in the Diabetes Clinical Alert (EM-5580, EM-5581 and 5869, Helpdesk #13743)

To prompt patients to notify their healthcare provider if they have a Continuous Glucose Monitor (CGMS), an existing diabetes subquestion has been enhanced to include this. The clinical rationale for the enhancement is that healthcare providers need to be aware of a patient's CGMS as these devices can malfunction if exposed to x-ray and diathermy (which are often used in surgery) and can therefore adversely affect the amount of insulin delivered to the patient.

The visibility of this subquestion is controlled by an existing Form Configuration HISTORY_CVD_DIABETES_ADDITIONAL_DETAILS.

The patient's response is also now included in the Diabetes Clinical Alert text.

The response is prefixed by 'Monitored by: ' eg. Monitored by: Dexcom G6'

Timezone added to the IFC Payment Summary (EM-5671)

epi-me's integrated payment gateway facility stores transaction timestamps in server time (usually in Australian Eastern Time).

To provide more user-friendly payment confirmation screens to patients, the timezone has been added.

ADMIN PORTAL

Creation of new GP Practice Code database field (EM-5768, Helpdesk #23839)

An enhancement has been made to the GP synchronisation interface (initially only for one webPAS customer, but planned for further webPAS customers) to store and export the 'Practice Code' of a GP or Referring Dr (if different) when they are selected on a patient eAdmission.

Add configurable warning text above the Medication Grid on the PDF printout (EM-5045, Helpdesk #22171)

Healthcare providers can now configure a single line of warning text using item 91 in the Dynamic Text administration page.

The use-case for one customer is to flag to doctors that the visible medication are patient-reported and should not be considered a reconciled list.

They can opt-out of this change by clearing the content of this Dynamic Text item.

New %AppointmentTime% message parameter in the 'On book appointment' Event (EM-5563, HelpDesk ticket # 23903)
Patients can now have their appointment time displayed in the automated booking confirmation email for Clinician Appointments.

Previously, only the Appointment Date showed. Read more about the available message parameters for this Event.

A portion of the wording on the ‘Upload Document’ page, which appears when Option 1 ‘ I will Upload my Document NOW’ is selected, is now configurable using Dynamic Text item 90.

eReferrals with Uploaded Documents now have a paperclip icon on the Admin Portal Referral Worklist (EM-4099. Helpdesk #16230)

INTERFACE CHANGES

Import and export of GP Practice Code within HL7 MFN^M02 message (EM-5585, Helpdesk ticket #23839)

Further to the aforementioned database change to store GP Practice Code, epi-me can now also import a GP Practice Code from the PRA.2-1 segment of a MFN^M02 message.

If available on the patient's selected GP and Referring Dr (if different to GP), this GP Practice Code can now be included in the export of admission data to the PAS.

Enhancement to Admitting Dr and GP HL7 MFN^M02 synchronisation interface to use STF.4 field as a Admitting Dr v GP flag (EM-4556, Helpdesk ticket # 21390)

One customer uses STF.4 to differentiate an Admitting Dr update vs. a GP update, which epi-me can now handle.

Addition of the field ‘PostalStatePASCode’ to the vAdmissionFormExtract (EM-5182, Helpdesk #22310)

Added for webPAS customers.

Configuration to relabel OccupationPASCode to EmploymentStatusPASCode (EM-5576, Helpdesk #23897)

To cater to a specific configuration of a customer's webPAS instance, epi-me can now 'mask' OccupationPASCode as EmploymentStatusPASCode in the vAdmissionFormExtract.

BUG FIXES:

PATIENT PORTAL

Pending maternity antenatal classes were not being cleared after being abandoned by the patient (EM-6087, Helpdesk #22311 and #23081)

This longstanding bug with the initial release of the Maternity Appointments Module has now been fixed.
If a Patient User selects a maternity antenatal class but does not confirm and/or pay for it, the class is now 'reserved' for 15 minutes before it is considered abandoned, and taken out of their list of classes to book. This allows another Patient User to book that class.
There is another outstanding bug EM-4986 which is yet to be resolved. The bug is that the reserve time should be configurable per Session/Class Type and longer than 15 minutes, but it is being overridden by a 15 minute default.

Parent/Boarder Name was Showing Twice on the PDF Printout (EM-4881)

For customers with the Parent boarder question enabled on the Paediatric Discharge Planning page (‘Will a parent / carer be staying overnight with the child? *’), the ‘Parent/Boarder name’ question field on the PDF printout was appearing twice. This has now been fixed.

On the IFC Payment page the Card Expiry fields for Month and Year were very narrow on Mobile Devices (EM-4915)

A bug fix has been applied to an aesthetic issue whereby patients using mobile devices had small expiry fields that were legible but didn’t look aligned. This issue occurred for multiple devices including iPhone and Android and has now been fixed.

Day Stay Admissions with Insurance type of 'Public Patient' selected didn't have their Admission Date hidden (EM-5592, Helpdesk #23870)

This only applies to healthcare providers with facilities configured as Public Private Hospitals in their epi-me.

Public Day Stay patients still had a visible and selectable admission date. It is now hidden.

CRE/CPE question on Infection Screening page should be mandatory but is not validating as such (EM-5689, Helpdesk #23539)

A bug was introduced in which a response to the following question was not mandatory when it should be ‘Have you previously been infected or colonised with Carbapenem-resistant Enterobacteriaceae (CRE/CPE)? *’ This has now been fixed.

Recurring Headaches and Migraines question on Health History page 1 does not validate as mandatory (EM-5936)

The above bug with CPE was also found with the 'Recurring headaches or migraines?' question. This has now been fixed.

Expected date of birth field populating the expected birth date of a previous maternity admission, not the current one (EM-5945)

On repeat Maternity eAdmissions, the ‘Expected date of birth’ field on the Obstetric History page was copying forward from the previous eAdmission rather than Admission Date / Expected Due Date on the Admission Details page.

This has been fixed.

Invalid Characters on the GP and Practice name fields causing issues in the interface (EM-5880, Helpdesk #20599)

Forward (/) and backslashes (\) are now automatically stripped from the GP Surname, GP first name or initial and GP Practice fields upon page save.

These characters were breaking the PAS interface for some customers.

Insurance Details -remove copyforward of cards that are expired at admission dat (EM-5577, Helpdesk #23981)

Expired Medicare details that patients have entered on a previous admission were auto-populating on a new eAdmission and being accepted without triggering a validator. The result is a new eAdmission is submitted with out of date Medicare details.

On further review, this problem was identified to affect Medicare, DVA and Other Cards too.

The validator was changed to prevent expired cards from copying forward.

ADMIN PORTAL

Declining or Cancelling an eReferral from the Hospital now automatically refreshing the Referral Worklist (EM-4102, Helpdesk #16052)

When a staff member declined an eReferral from the Admin Portal the Referral Rorklist itself did not automatically refresh to reflect the change. This has now been fixed.'

Minor Typo in 'Invited to Complete Admission' Status on Admin Portal Referral Worklist (EM-5604)

Status is now correctly spelled 'Invited to Complete Admission'.

Patient Financial Documents not printing correctly (EM-5871)

A bug was identified whereby patient Financial Documents, including IFC, NCF and Payment Summary, were not printing correctly. Only the latest document was printing from the ‘Bulk Print’ icon on the staff portal. Now each document can be printed individually or as a Bulk print with other documents.

REFERRER PORTAL

Referrer and Staff portal users were prevented from re-eReferring overseas acute patients because the system erroneously made State mandatory (EM-5526, Helpdesk #23544)

Previously, the ‘State’ address field on the Acute eReferral had an erroneous mandatory validator when an overseas patient (‘Live Overseas?’ tickbox was selected) was being re-eReferred.

The mandatory validator no longer triggers so overseas patients can easily be re-eReferred.
